The Executive Assistant provides high-level administrative and organizational support to the Executive Director and the Director of Academics and School Operations. The position serves as a key liaison among school leadership, the governing board, staff, families, community partners, vendors, and other external stakeholders.
The Executive Assistant manages confidential information, coordinates schedules and meetings, prepares correspondence and reports, maintains organizational records, and ensures timely follow-up on administrative priorities. The successful candidate must demonstrate exceptional organizational skills, professionalism, discretion, strong communication, attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced school environment.
Education:
High school diploma required. Associate degree or an equivalent combination of education and relevant administrative experience required. Bachelor’s degree preferred.
Certification:
Current CPR certification preferred.
Experience and Skills:
Three or more years of experience providing administrative, executive, school, or organizational support required. Experience in an educational or nonprofit environment is preferred.

Provide direct administrative support to the Executive Director, the Director of Academics and School Operations, and, as assigned, members of the school administrative team.
Manage the calendars, appointments, meetings, and scheduling priorities of the Executive Director and Director of Academics and School Operations.
Coordinate internal and external meetings, including agendas, materials, meeting spaces, and technology.
Prepare, edit, proofread, and distribute correspondence, memoranda, reports, presentations, and other official documents.
Track deadlines, action items, and follow-up assignments to ensure timely completion.
Assist with special projects and initiatives identified by the Executive Director and/or Director of Academics and School Operations.
Serve as a professional point of contact for staff, families, governing board members, community partners, vendors, and other stakeholders.
Respond to inquiries professionally and route matters to the appropriate administrator when necessary.
Draft and distribute school-wide communications on behalf of the Executive Director and Director of Academics and School Operations.
Maintain confidentiality when handling sensitive personnel, student, family, financial, and organizational information.
Support consistent, timely, and professional communication across the organization.
Assist with the preparation and organization of governing board meetings and supporting documents.
Maintain board records, meeting materials, and follow-up items.
Coordinate communication between school administrators and governing board members.
Assist in ensuring required board documentation is organized, current, and readily accessible.
Assist the Executive Director and Director of Academics and School Operations with tracking school-wide initiatives, deadlines, and operational priorities.
Support the coordination of events, meetings, and special school activities.
Assist with maintaining calendars and schedules for major school events and administrative activities.
Optimizes efficiency by supporting the development, organization, and implementation of administrative procedures and processes.
Assist with collecting, organizing, and preparing data and information for administrative meetings, reports, and presentations.
Maintain accurate, organized, and confidential administrative records.
Assist with document preparation for audits, charter renewals, re-accreditation process,compliance reviews, and other organizational requirements.
Support the Executive Director and Director of Academics and School Operations in maintaining documentation related to school operations and strategic initiatives.
Ensure documents are properly organized, updated, and accessible to authorized personnel.
Assist with projects and initiatives that support Brighten Academy’s mission, strategic priorities, and continuous improvement efforts.
Represent Brighten Academy in a professional, positive, and courteous manner.
Perform other duties as assigned by the Executive Director and Director of Academics and School Operations.
